
How to Import HubSpot Clients into AI Roleplays for Sales Call Practice

Most sales training tools hand you a fictional buyer: a made-up "skeptical CFO" or a generic "price-sensitive procurement lead." It's better than nothing, but it isn't the call you're about to make. The deal in front of you has a name, a history, and a very specific set of concerns sitting in your CRM right now.
That's the idea behind Pavone's HubSpot import. Instead of inventing a scenario, you pick a real company from your HubSpot account and Pavone turns its data — the contacts, the lifecycle stage, the notes your team has logged — into a realistic AI roleplay you can speak to out loud. You rehearse the exact conversation you're about to have.
What the HubSpot import actually does
When you import a company, Pavone reads three things from HubSpot and assembles them into a practice scenario:
- 1.The company — name, industry, size, lifecycle stage and description become the backdrop of the scenario.
- 2.The contacts — an associated decision-maker becomes the AI persona you speak to, with their real role and seniority.
- 3.The notes — the context your team logged ("budget frozen until Q3", "comparing us to a competitor") shapes the persona's attitude and the objections they raise.
The result is a ready-to-run roleplay: a title, an AI persona with a voice, and a set of realistic objections drawn from what's actually happening with that account. You hit practice and have the conversation.
Why this matters for sales teams
You practice the real call, not a generic one. Rehearsing against a persona built from the actual account means you walk in already familiar with their likely objections and tone.
Onboarding gets faster. A new rep can run roleplays against your real pipeline and learn how your accounts actually behave — far more useful than abstract scripts.

Step-by-step: connect HubSpot to Pavone
Connecting takes about two minutes. You'll create a token in HubSpot and paste it into Pavone. The token is read-only and stored encrypted — and because each token connects a single HubSpot account, this works equally well for your own portal or for a client connecting theirs.
Step 1 — Open Private Apps in HubSpot
In HubSpot, click the Settings gear (top right), then go to Integrations → Private Apps. HubSpot has been renaming this area, so depending on your account it may appear as Legacy Apps. If you're prompted to choose, pick Private — "For one account". If HubSpot offers a Service Key instead, that works too — it produces the same kind of access token Pavone needs.
Step 2 — Name the app
Give it any name you'll recognize later, for example Pavone Roleplay Import. The name has no effect on how it works.
Step 3 — Set the scopes (read-only)
On the Scopes tab, enable these two read scopes:
crm.objects.companies.readcrm.objects.contacts.read
💡 Looking for a notes scope? HubSpot doesn't expose crm.objects.notes.read as a separate checkbox in most accounts. You don't need it — access to notes is included with crm.objects.contacts.read. Just enable the two scopes above and your notes will come through.
Step 4 — Create the app and copy the token
Click Create app and confirm. HubSpot will show an access token that starts with pat-. Copy it — this is what you'll paste into Pavone.
Step 5 — Import a company in Pavone
In Pavone, open Roleplays and click Import from HubSpot. Paste your access token to connect, then search for and select a company. Pavone reads the account and generates a roleplay you can edit or practice immediately.

Is my HubSpot data safe?
Yes. The connection is read-only — Pavone only ever reads from HubSpot and never writes, edits, or deletes anything. Your access token is encrypted before it's stored. The company and note text is sent to our AI solely to generate the practice scenario.
Why can't I find the notes scope in HubSpot?
In most HubSpot accounts the crm.objects.notes.read scope isn't listed as a separate option — it's a known quirk of the private-app scope picker. Read access to notes is covered by crm.objects.contacts.read, so you only need to enable the companies and contacts read scopes.
Does importing change anything in HubSpot?
No. HubSpot remains your single source of truth. The import only reads your companies, contacts, and notes to build a roleplay inside Pavone. Nothing is written back to your CRM.
Can more than one account or client connect?
Yes. Each HubSpot access token connects a single portal, so a client can generate their own token in their HubSpot and connect it independently. Your accounts and theirs stay separate.
What if a company has no notes yet?
The import still works — Pavone builds the persona and objections from the company and contact details it has. The richer your CRM notes, the more specific and realistic the roleplay becomes, so it pays to log context as you work the account.
